Programme Assistant

CCA is looking for a Programme Assistant

Reporting to the Programme Manager, the postholder will be responsible for assisting with the delivery and development across CCA’s programmes and projects, inclusive of CCA’s Open Source programme, exhibitions, residencies, CCA Publications, Publication Studio Glasgow and other projects.


The post-holder will be responsible for acting as the initial point of contact for programme related enquiries, progressing proposals from artists and organisations in line with CCA’s open source programme policy and thereafter signposting relevant projects across the programme and community engagement teams as best fit.


The ideal candidate should be able to work efficiently to support the administrative and practical delivery of programme logistics and planning, ensuring that the needs of artists and partners are effectively communicated across the organisation to ensure an excellent standard of care at all times.


The role’s scope also includes making meaningful contributions to programme development, streamlining event production processes and maintaining meticulous financial upkeep.

PRINCIPAL DUTIES

Programme & Events Support

  • Read and filter new external proposals for CCA Open Source partner programme, responding to enquiries in a timely manner

  • Assist with liaising with programme partners to ensure they receive clear information about event timelines and requirements, that their needs are exceeded and that an excellent level of care is maintained at all times

  • Provide administrative and artist development support for Creative Lab residencies, Intermedia Gallery exhibitions by helping draft open call announcements and application processes

  • Support with developing Publication Studio Glasgow membership and ongoing maintenance of the space, inclusive of ordering paper stock, running inductions and booking equipment maintenance

  • Support partner organisations by ensuring their logistical and technical needs are communicated to the relevant teams.

  • Assist in scheduling meetings, taking minutes, and preparing documentation related to programme planning.

  • Collate event details for fortnightly internal operations briefings, ensuring the wider team has the necessary information


Administration & Finances

  • Support with budget tracking by maintaining records of programme-related expenses across Intermedia Gallery exhibitions, artist residencies, publications, Publication Studio Glasgow and other projects.

  • Provide administration for all open calls, filing submissions, answering enquiries and sharing results with professionalism and confidentiality.

  • Convene, attend and record meetings as required.

  • Process invoices, purchase orders, and payment requests under the direction of the Programme Manager.

  • Assist with drafting contracts for artists and partners based on CCA’s templates, ensuring they are signed in a timely fashion ahead of programme activity

  • Maintain accurate records of applications, agreements, and programme schedules.


Communication & Partner Liaison

  • Act as a first point of contact for general programme-related enquiries by monitoring the central programme address, forwarding key issues to the Programme Manager and signposting relevant programme-related enquiries across other community engagement programmes

  • Ensure internal communication about upcoming events is clear, updating calendars and file-sharing platforms accordingly.

  • Assist in preparing and distributing programme-related communications, including newsletters and website updates.

  • Support the Programme Manager in gathering feedback from stakeholders and partners for evaluation reports.


Venue & Logistics Support

  • Occasionally assist in event setup and delivery, ensuring artists and partners have the necessary support.

  • Liaise with front-of-house, technical, and operations teams to confirm event details and requirements.

  • Help prepare risk assessments for events and exhibitions under the guidance of the Programme Manager.

  • Ensure that partners and visiting artists are familiar with CCA’s operational policies and procedures.
